Academy rules
How lessons, payment and refunds work, in brief. You book and pay in the Academy’s Telegram bot; the app there always has the current version of the rules.
1. Lessons and groups
Lessons are online, in small groups by language and level, and last 60 minutes. A group has 3 to 7 seats. A lesson takes place when it has 3 confirmed participants and at least one of them has paid with money. Lessons start strictly on schedule.
2. Invoice
- The invoice is in hryvnias at the official NBU rate of the day it is issued, rounded to a whole hryvnia. The amount does not change afterwards.
3. Booking
The first two seats in a group are booked for free. The third booking starts payment: all three get an invoice and have up to 12 hours to pay, but no later than 6 hours before the start. Everyone after them gets an invoice at once. You can book until an hour before the start if a seat is free; with a late booking the transfer and its check must be finished by then. One time, one booking: you cannot book two lessons or interviews for the same time.
4. Payment
You pay by transfer to the card of an Academy teacher, using the invoice in the app. Put the order number in the transfer comment and press “I have paid” after the transfer. The lesson’s teacher confirms the payment once the money has arrived; while it is being checked, your seat is kept. The sender pays the bank’s commission. If less arrives, the rest has to be paid; an overpayment or a second transfer for the same invoice is returned. Until you press “I have paid”, payment reminders come 6, 3 and 1 hours before the payment deadline. Never write a card number in messages.
5. The group check
6 hours before the start we check the group: if it has 3 participants together with the payments still being checked, it waits for the final decision; otherwise the lesson is called off. The final decision is made an hour before the start: 3 confirmed participants are needed, at least one of them paid with money.
6. Cancelling and moving
- A paid booking can be cancelled for free until 6 hours before the start — once per calendar month. Later it can be cancelled without a refund. If this month’s cancellation limit is used up, you can still give up a paid seat before that time without a refund: the limit is not spent and the seat is freed; a move stays available if you have one left.
- A paid seat can be moved to another lesson of the same language and level until 6 hours before the start — twice per calendar month.
- If the Academy calls a lesson off or the group does not form, you choose a refund or another lesson; you have 7 calendar days to choose.
- If you miss a lesson, there is no refund, but you keep the lesson materials if the teacher attached them.
7. Refunds
Refunds are made by hand, by transfer, within 5 business days of the moment the refund became due; the date is shown in your booking. Where possible, the money goes back to whoever sent it. If your details are needed, the teacher asks for them in person, outside the app; while the Academy waits for them, the term is paused.
8. Coins
Coins are the Academy’s bonus points, not money. They can pay for part of a lesson or all of it: 500 coins give 25% off, 1000 — 50%, 1500 — 75%, 2000 — 100%. The rest is paid by transfer. Coins come back when you cancel in time or the Academy cancels.
9. Level interview
An interview with a teacher (40 minutes) determines your level. Book it no later than 2 hours before the start and pay within 6 hours of booking, but no later than an hour before the start. Cancelling at least 6 hours before gives a full refund or another time; later, or if you do not come, there is no refund.
10. Video
Lessons take place in an 8x8 video room. Your personal link is in the app: you can join 5 minutes before the start, and until the teacher comes in you wait in a waiting room. Lessons are not recorded. Only your first name and your Academy student number (for example, #1047) are passed to 8x8; attendance is taken from entering the room. If the teacher has not come in 10 minutes after the start, the lesson counts as called off by the Academy: you choose a refund or another lesson.
11. Violations
A teacher records a violation only after a check: a knowingly false “I have paid”, 3 invoices within 30 calendar days that ran out with neither a payment nor “I have paid”, or a violation at a lesson (a student disrupts it) — such a lesson is not refunded. Before a decision you have 24 hours to explain. The first violation is a warning, the next ones are penalties; 2 penalties within 90 calendar days lower your limits of free bookings and unpaid invoices to one. The restriction ends after 3 attended lessons paid with money.
